The Challenge
Egnyte is headquartered in an independent, self-managed building with an on-premise physical access control system. While the existing system provided adequate security and card-based access management, it lacked modern capabilities, such as API-integration-enabled conditional access, automated provisioning, and mobile access. Additionally, Egnyte’s existing system relied on physical RFID cards and lacked mobile access capabilities.
As Egnyte reopened its offices after the pandemic, it needed to significantly revamp its physical access policies and processes. The firm also introduced a desk reservation and health attestation requirement for employees to book an in-office workday before coming to work.
With limited administrative staff in the office at all times, Egnyte faced multiple challenges, including the following:
- If employees left their RFID card behind or lost their card, they were unable to access the office when the front desk was not staffed.
- Access for new employees had to be provided on site in the on-premises access control system.
- The new desk reservation and health attestation requirement needed manual verification to ensure compliance.
- Remote management and provisioning were unavailable.
- They struggled to download usage and physical access data manually from the old on-premise system.
The Opportunity
Over 91% of the global population, or 7.26 billion people, have mobile phones, with 6.64 billion being smartphone users. With almost all Egnyte employees owning a smartphone, it became crucial to treat digital identities as equal to physical identities in the shift to remote or hybrid work during the pandemic.
Egnyte needed a cardless, seamless, and secure physical access solution to integrate with Okta and Envoy for mobile-based authorization. However, replacing their old PACS was not feasible due to time, effort, and cost constraints. Egnyte required a long-term, affordable, scalable, and versatile solution.
The OLOID Solution
OLOID proposed meeting all of Egnyte’s needs through a scalable and versatile retrofitted solution.
- Retrofit
Egnyte team used S2 Security as their PACS. OLOID provided a retrofit solution by installing OLOID M-TAG on existing RFID readers and deploying OLOID Workflows on an on-premise server for data sync and API integration with S2. We also implemented business rules to automate the provisioning of physical access and mobile credentials for new hires and daily access for employees who completed their health attestation and booked a desk.
- Scalability
OLOID enabled process automation for Egnyte, achieving scalability. Mobile access and API automation through OLOID M-TAG allow administrators to manage access rights from anywhere. This cloud-based access is crucial for Egnyte's hybrid work model.
- Versatility
OLOID empowered Egnyte's existing PACS with a variety of use cases through integration capabilities. OLOID facilitated SSO and mobile access by integrating S2 Security (PACS) with Okta. OLOID also integrated S2 Security (PACS) with Envoy to address desk reservation issues. All that was left was to use the OLOID app.

The Result: Improved User Experience
OLOID has upscaled access management at the Egnyte office with powerful integrations. With mobile access, Egnyte employees do not need to carry badges anymore, and they are no longer dependent on the firm’s administrative staff for any access-related tasks.
After successfully deploying access control reforms at Egnyte’s Mountain View headquarters, OLOID has also enabled mobile access in the firm’s Spokane, Washington, office with OLOID M-TAG. OLOID’s wide scope of unlimited integrations is capable of empowering all of Egnyte’s existing access control systems.
